Complete Guide to Applying to Hargrave Military Academy

Choosing the right school for your son is significant. Once you’ve determined Hargrave is the right fit, understanding the application process ensures a smooth journey. Here’s your complete step-by-step guide to applying to Hargrave Military Academy.

Step 1: Create Your Online Account

Begin by creating an online account at hargrave.edu/admission/apply/. This portal becomes your central hub throughout the application process. You’ll submit documents, track progress, communicate with admissions, and receive updates through this platform. The online system makes the process efficient and transparent.

Step 2: Submit the Application

Complete the online application and submit the application fee. The fee is $75 for domestic applicants and $150 for international applicants. This single fee covers both admission processing and financial aid application processing—you won’t pay separate fees for financial aid consideration.

The application asks about your son’s academic history, extracurricular involvement, interests, goals, and why Hargrave interests your family. Be honest and specific. We value authentic applications over polished perfection.

Step 3: Admissions Counselor Contact

After receiving your application, an admissions counselor contacts your family. This isn’t a formal interview—it’s a conversation. The counselor discusses your son’s application, answers questions, explains next steps, assists with reference coordination, and helps schedule the interview and campus visit.

Your admissions counselor becomes your guide throughout the process. Don’t hesitate to ask questions, share concerns, or request clarification. We want families fully informed.

Step 4: Submit Required Documentation

Several documents complete your application package. Official transcripts or report cards from current and previous schools provide academic history. We want to see grades, course rigor, and academic progression. The Principal evaluation offers perspective on your son’s character, behavior, and school citizenship. Two teacher evaluations—one from English and one from Math—provide insight into academic performance, work ethic, classroom behavior, and potential.

These references matter significantly. They help us understand your son beyond grades and test scores. We’re looking for character, potential, work ethic, and fit—not just academic performance.

Step 5: Schedule and Complete the Interview

Your son will interview with a member of the admissions team. This conversation explores his interests, goals, questions about Hargrave, and reasons for considering military school. We also assess maturity, communication skills, and readiness for the Hargrave experience.

Parents often ask: What should my son prepare for the interview? The answer: authenticity. We’re not looking for rehearsed responses. We want to meet the real young man—his hopes, concerns, questions, and personality. Encourage him to be himself, ask genuine questions, and engage honestly.

The interview can occur during a campus visit, virtually via video call, or occasionally by phone. Campus interviews are preferred when possible because they allow your son to experience Hargrave firsthand.

Step 6: Campus Visit (Highly Recommended)

While not always required, campus visits are highly recommended. Hargrave looks different on paper than in person. Visiting allows your son to walk the barracks, attend a class, eat lunch in the dining hall, talk with current cadets, observe formations, see facilities, feel the atmosphere, and ask questions.

Several visit options exist. Personal tours (Monday-Friday) are the most popular—families meet key leaders, teachers, and admissions team members. Open Houses (weekdays and Saturdays) offer group tours and Q&A sessions. Cadet Shadow Days (monthly Wednesdays) allow prospective students to attend two class periods, eat lunch, and participate in military training. Tag-Along Open Houses let prospective cadets participate in obstacle courses, drill and ceremony, and campus activities.

Which visit format is right for your family? Personal tours provide the most personalized experience and individual attention. Open Houses allow you to meet multiple families simultaneously. Shadow Days give your son the most authentic taste of daily cadet life. Many families do multiple visits at different points in their decision process.

Step 7: Review and Decision

After your application is complete—including transcripts, references, interview, and all required documentation—the admissions committee reviews your file. We consider academic performance and potential, character and leadership qualities, extracurricular involvement and interests, references from teachers and principal, interview impressions, and overall fit with Hargrave’s mission and culture.

Review typically takes 2-3 weeks from application completion. Families receive admission decisions via email and through the online portal. If accepted, you’ll receive an acceptance letter, enrollment contract, financial aid package (if applicable), matriculation information, and next steps timeline.

Step 8: Enrollment and Deposit

Accepted families finalize enrollment by signing the enrollment contract, submitting the enrollment deposit, completing health forms and immunization records, and attending new family orientation events. The enrollment deposit secures your son’s place in the incoming class. This deposit is typically due within a few weeks of acceptance, though we can work with families on timing when needed.

Timeline Considerations

When should you apply? Hargrave operates on a rolling admissions basis—we review applications as they’re completed rather than waiting for a universal deadline. This creates both flexibility and urgency. Early application advantages include more financial aid availability (first-come, first-serve for merit scholarships), better class placement options, earlier room assignments for boarding students, and more time for family planning and preparation.

Many families apply in fall for the following academic year. International families often need additional time for visa processing and travel arrangements. Postgraduate applicants sometimes apply later as they finalize college plans.

That said, Hargrave accepts applications throughout the year and even mid-year transfers when circumstances warrant and space allows. If you’re considering Hargrave, don’t let timing concerns prevent you from applying.

Special Circumstances

Every family situation is unique. Special circumstances include mid-year transfers (we can accommodate when space allows), international applicants (additional documentation required), students with learning differences (provide documentation for appropriate support), students with significant behavioral histories (honest disclosure is essential), and families needing flexible timelines (communicate with admissions).

Hargrave works with families facing special circumstances. Honesty and open communication help us determine fit and appropriate support.

Financial Aid Application

If your family needs financial aid, you’ll complete a separate application through the Clarity platform after admission. The financial aid application requires family financial information, tax documents, and household details. Processing typically takes 2-3 weeks. Aid packages are sent with acceptance letters when possible.

Remember: The same application fee covers both admission and financial aid processing. Don’t let financial concerns prevent you from applying. We want to work with families to make Hargrave accessible.

What Happens After Acceptance?

After enrollment, families receive a matriculation packet with move-in dates and logistics, packing lists and uniform information, health forms and immunization requirements, technology requirements, new family orientation invitations, and contacts for questions.

The Parent Association reaches out to welcome new families and begin building community. Your son’s TAC officer may contact him before arrival. The admissions team remains available for questions throughout the summer.

Application Checklist

To ensure nothing falls through the cracks, use this checklist. Create online account at hargrave.edu. Complete and submit online application with fee. Request official transcripts from current and previous schools. Coordinate Principal evaluation. Arrange two teacher evaluations (English and Math). Schedule and complete admissions interview. Visit campus (highly recommended). Submit any additional requested documentation. Complete financial aid application if needed (after admission). Sign enrollment contract and submit deposit upon acceptance. Complete matriculation requirements before arrival.

Common Questions

How long does the application process take? From initial application to decision typically takes 4-6 weeks, depending on how quickly references and transcripts arrive. Can my son apply for multiple grade levels? Yes, we’ll determine the best placement based on age, academics, and maturity. What if his grades aren’t perfect? We consider the whole person—character, potential, and trajectory matter as much as current grades. Can we apply if we’re uncertain about affordability? Absolutely. Apply first, then evaluate financial aid packages. Many families find Hargrave more affordable than initially thought. What’s the acceptance rate? We don’t publish acceptance rates because we’re not trying to be exclusive. We’re looking for young men who will thrive here and whom we can serve well.

Why Hargrave?

As you navigate this process, remember why Hargrave matters. We believe there is a leader in every boy.
